DRIVE MATE FUEL POLICY
This fuel policy provides a clear framework for managing fuel charges and responsibilities on the Drive mate platform. The policy ensures transparency and fairness for both Hosts and Guests during trips.
This policy explains how fuel usage is charged, reimbursed, and managed, with terms aligned to provide a smooth car-sharing experience.
What Does This Fuel Policy Cover?
This policy explains:
How fuel charges are calculated for Guests.
Responsibilities of both Guests and Hosts for fuel during a trip.
Penalties, reimbursement processes, and invoicing related to fuel usage.
Fuel Charges
Per-Kilometre Rate Set by Hosts:
Hosts select a fuel-inclusive per-kilometre rate, which is either $0.33/km, $0.45/km, or $0.55/km.
Drive mate retains $0.09/km as a service fee, and the remainder is passed to the Host.
Billing Process:
Before the Trip: Guests pay for the trip duration upfront.
After the Trip: Guests are charged for the kilometre usage based on GPS data recorded during the trip.
Unsuccessful Post-Trip Charges:
If Drive mate cannot successfully auto-charge the Guest for kilometre usage after the trip:
An invoice will be sent to the Guest via email.
Guests will have 3 days to pay the invoice.
Failure to pay within the 3-day period will result in a $25 penalty.
Hosts will be paid regardless of status of Guest payment.
Guests’ Fuel Responsibilities
Return Fuel Level:
Guests must return the vehicle with at least 25% fuel in the tank.
Failure to meet this requirement will result in a penalty charge of $25, as specified in the Rental Agreement.
Refuelling During the Trip:
If Guests need to refuel the vehicle during their trip, they must use their own funds to pay for the fuel.
To be reimbursed for refuelling, Guests must:
Submit a receipt for the fuel via the Drive mate app or website
Ensure the receipt is uploaded within 24 hours of the end of the trip.
Reimbursement will be processed and credited to the Guest’s account.
Hosts’ Fuel Responsibilities
Setting the Per-Kilometre Rate:
Hosts must select one of the approved rates ($0.35 (default), $0.45 or $0.55 per kilometre) when listing their vehicle.
The rate includes compensation for fuel and wear and tear.
Ensuring Accurate Fuel Levels:
Guests must follow the Drive mate pickup process including taking pictures of the fuel gauge to ensure accurate details about the fuel level before the start of the trip, same again at trip end.
Penalties and Enforcement
Low Return Fuel Level:
Guests who return the vehicle with less than 25% fuel in the tank will incur a penalty fee of $25.
Late Payment Penalty:
Guests who fail to pay kilometre usage charges within 3 days of receiving an invoice will incur a $25 penalty.
GPS-Based Fuel Tracking
Fuel usage during a trip is calculated based on GPS data collected from the vehicle. This ensures accuracy and fairness in determining kilometre usage and related charges.
